The Student Accounts Coordinator, under the supervision of the Manager of Student Accounts, provides the highest level of customer service while working with our students, parents and fellow employees to answer inquiries regarding matters related to the student's account. The Coordinator ensures compliance with federal, state and institutional policies while maintaining student account records with accuracy. This individual must be a self-starter and be able to utilize their background in financial processes and information systems to increase efficiency and maximize system functionality. This position works to support the overall goals and mission of the Finance Office and Kansas City University
Essential Duties and Responsibilities:
Perform student account maintenance activities to include account reviews/analysis, record payments, monitor collection activities, and update accounts in compliance with established policies and procedures
Record/audit payments; payments received via mail, electronically, and in person
Bill and collect payments from third-party agencies for student tuition and fees; update third-party invoicing/payment in the Workday system
Process deposits for student payments
Engage in clear communication with students and/or parents concerning billing
Provide customer service and answer student inquiries regarding their financial status, including assisting with payment options
Assist with processing of 1098-T tax forms
Answer and return phone calls; call volume can be high at different time periods of the semester
Track and maintain student accounts throughout the collection process to ensure prompt payment of outstanding balances
Develop and create correspondence in response to student account inquiries
Complete student account activities in compliance with Title IV Cash Management regulations and guidelines.
A minimum of two years of experience in bookkeeping or accounting
Ability to prepare reconciliations and supporting documentation
Commitment to excellence and quality service
Information system skills and the ability and willingness to learn new software
Excellent verbal and written communication skills
Possess a combination of strong critical thinking and analytical skills, with a compassionate, approachable, and high-energy personality
Highly motivated team player
Comfortable and proficient with the use of spreadsheets and other workplace technology tools
Ability to work independently
Experience with Workday a plus
