The Undergraduate Studies Division is currently one of the six divisions (including L&S Core) in the College of Letters and Science. The primary charge of the division is the academic well-being of the more than 23,000 undergraduates in the College, 73% of Berkeley's undergraduates. Undergraduate Studies is organized into three primary areas that serve undergraduates in the College of Letters and Science, and across campus: Academic Engagement, Undergraduate and Interdisciplinary Studies (UGIS) Teaching Programs, and Undergraduate Advising.
Academic Engagement: the division serves as an incubator for new ideas, including co-curricular programs and initiatives designed to promote the ideals of a liberal arts education. We are especially committed to creating and overseeing programs that nurture productive intellectual relationships among faculty members and students. Our Academic Engagement programs serve students at every stage of their undergraduate careers, from the initial years of intellectual exploration, through the process of finding and pursuing an in-depth academic focus.
Teaching Programs: the division is a center for innovation in undergraduate education that extends beyond traditional departmental boundaries. The major and minor programs in UGIS attract undergraduates who wish to explore intellectually engaging and promising interdisciplinary areas of study. College Writing Program serves students who must satisfy the Entry Level Writing Exam and composition requirements, as well as intermediate writers wishing to enhance their writing skills. Military Affairs is home to three departments: Naval Science, Aerospace Studies, and Military Science.
Undergraduate Advising: The Office of Undergraduate Advising (OUA) is committed to providing the more than 23,000 undergraduate students in the College with the support and guidance necessary to succeed in the pursuit of a liberal arts education. The staff include both professional and peer advisors, as well as faculty who work as associate and assistant deans.
Applies professional concepts to perform moderate to complex financial and resource analysis to understand past performance and determine present and future performance and resource allocations. Maintains multi-year records in order to analyze past performance, assess trends, and project future needs.
Provides analytical support for complex budget, financial, or resource analysis projects. Develops, prepares, and designs annual and ad hoc financial reports as needed, determining data sets and identifying appropriate information sources. Assists with academic and non-academic expense analysis in preparation for the annual budget submission. Investigates budget versus actual variances for CalPlanning.
Independently gathers information as needed to perform analysis. Provide recommendations for financial and resource plans, including annual resource allocation approaches, trended future requirements, operating forecasts, sources and uses, etc.
Coordinates and implements annual resource allocations for the division, including temporary academic salary funds (TAS), inter-division allocations in support of College courses, and all dean's supplemental allocations to divisional academic and non-academic programs.
Provides oversight of divisional gifts, including the regular reporting on gift balances to program and area directors.
Performs reconciliation functions, including but not restricted to payroll expense reports, Cal Answers reports, and CalPlanning reports. Manages the correction of chartstring and/or allocation errors.
In collaboration with the Asst Director of Finance, manages the annual fiscal close process, coordinating and reporting on deadlines, checking the proper distribution of allocations, and the correctness of compensation and non-compensation expenses, and complying with the University's policy on deficit resolution.
Performs complex financial or resource research and studies for a variety of internal department constituents, including the divisional dean, program directors, and area managers. Examples include generating, modifying, and conceiving of new financial or other resource reports, or analyzing and forecasting staff/faculty salary budgets, gifts, endowment income, and contracts and grants.
Develops and prepares other reports and analysis as requested by the division's Asst Dean or Asst Director of Finance. Examples include analysis and projection of annual benefits expenses, analysis of divisional non-compensation expenses by processing unit, and trended analysis of gift income.
Provides division-wide support in the areas of business process analysis and design, system or procedure testing and implementation, documentation, security, and workflow. Oversees all financial processes for the division and ensures that the appropriate internal controls are addressed, maintained and strengthened to protect University resources. Documents procedures for financial activities.
Maintains a sound and comprehensive understanding of business and financial policy and campus fund allocation guidelines. Ensures that all financial transactions are executed in accordance with university policy and within gift/grant/endowment requirements.
Prepares, reviews, and/or approves financial transactions. Serves as office of record for financial transactions. Maintains the original signature authorization and delegation paperwork for the division.
Manages and maintains the chart of accounts for the division in accordance with campus guidelines such that proper recordkeeping, and clear, efficient, and readily-accessible financial reports are produced.
Thorough knowledge of finance policies, practices, and systems (advanced knowledge preferred).
Ability to prioritize work and meet deadlines, with close attention to details.
Ability to adapt to changing priorities and dynamic work environment.
Demonstrated ability to independently gather, organize, and perform financial analysis assignments.
Proven ability to present information in a clear and concise manner, both verbally and in writing.
Proficient in the use of Excel and spreadsheets, as well as common desktop/web applications.
Bachelor's degree in related area and / or equivalent experience / training.
Advanced knowledge of finance policies, practices, and systems.
Experience with query software (such as Cal Answers reporting).
Knowledge of, or the ability to learn, CalPlanning and SmartView budgeting tools.
