UW Medicine’s IT Services department has an outstanding opportunity for an Lead, Epic Security Coordinator! This position is currently 100% remote due to COVID-19. When restrictions are lifted and staff can return to the workplace, there is a high likelihood of partial ongoing remote work in the future.
UW Medicine’s Information Technology Services (ITS) department is a shared services organization that supports all of UW Medicine. UW Medicine is comprised of Harborview Medical Center (HMC), UW Medical Center-Montlake Campus (UWMC-Montlake), UW Medical Center-Northwest Campus (UWMC-NW), Valley Medical Center (VMC), UW Neighborhood Clinics (UWNC), UW Physicians (UWP), UW School of Medicine (SOM) and Airlift Northwest (ALNW). In addition, UW Medicine shares in the ownership and governance of Children’s University Medical Group and Seattle Cancer Care Alliance (a partnership between UW Medicine, Fred Hutchinson Cancer Research and Seattle Children’s). ITS is responsible for the ongoing support and maintenance of the infrastructure and applications which support all of these institutions, along with the implementation of new services and applications that are used to support and further the UW Medicine mission.
In collaboration with UW Medicine IT Services (‘ITS’) and under the general guidance of the Identity and Access Supervisor, the primary focuses of the Lead, Epic Security Coordinator position are: •Development, implementation, and on-going maintenance of security roles and controls for Epic and interconnected applications. •Operational configurations of Epic security configuration for efficient and appropriate operations •Access and authorization activities across the identity lifecycle that require coordination with clinical and business units, UW Campus, vendors, and external partner organizations, such as audit remediation and cleanup, onboarding/offboarding, data management, and other access management activities. •Audits and produce management and exception reports, to include resolution of issues found.
•Areas of responsibility include, but are not limited to: •Deliver on the IAM service portfolio which includes user provisioning, integrations, audits, and business/data analysis •Participate in Epic security build, testing, and record creation processes, making appropriate access decisions in conjunction with application coordinators/analyst and operations •Collaborate with Epic application teams to monitor and maintain operational configurations of Epic security •Proactively engage with IT leadership to recommend enhancements and mitigate risks within the Epic environment
The Lead, Epic Security Coordinator has primary responsibility for the definition, coordination, implementation, maintenance and support of Epic’s user access and security infrastructure. IAM Epic Security supports the user access and security needs of all UW Medicine entities including UWNC, UWMC-Montlake, UWMC-NW and SCCA. The IAM Epic Security team supports user access and security against the full spectrum of Epic financial and clinical data. Working closely with other teams and leadership in ITS and the medical centers, the coordinator provides coordination, standardization, improvement and support of the user access and security processes and solutions.
Lead Responsibilities (25%)
Escalation resource for IAM Epic Security team, provide guidance and assist with IAM Epic Security operations, issue resolution and workflows.
Serve as Epic Security Change Management representative.
Conduct training of new IAM Epic Analysts; provide feedback to the IAM management team on training progression and needs.
Provide coaching to IAM Epic Security Analysts as needed.
Provide and maintain expert level knowledge in Epic Security processes, workflows and procedures; provide input and guidance to IT Services’ teams in Epic Security related processes and support.
Oversee and act as point for IAM Epic Security in the IAM account audit program and functions.
Maintain procedure documentation; assist with keeping electronic documentation up to date in SharePoint.
Participation in committees and teams as assigned.
Provide improvement recommendations to IAM management.
Manage the IAM Epic Security SDM queues and work volumes; adjust assignments and skills to accommodate for volume fluctuations to ensure service levels targets are met.
User Access and Security (25%)
Perform day to day troubleshooting, analysis and resolution related to Epic user access and security issues identified by customers.
Coordinate all Epic security related issues and work with other application teams in providing a comprehensive response to customers.
Lead the Epic Security Advisory Workgroup (ESAW) and workgroup meetings, including:
Manage communication between applications.
Facilitate application and cross-application security work sessions.
Develop and enforce security timelines and strategies.
Identify potential areas for improvement, best practices, standardization, etc.
Establish agendas, document minutes and assign follow-up tasks.
Partner and collaborate with IAM Epic Security Manager to ensure Epic Security projects are well defined, clearly scoped and are moving along meeting established goals and timelines.
Collaborate with UW Medicine IT and Operational teams to develop solutions to streamline existing processes to provide a more efficient, timely turnaround for new, transferred and terminated user requests.
Analyze data and security requests to ensure data integrity and compliance with UW Medicine policies.
Act as key customer liaison, working with them to understand their access and security needs; communicate scope, timelines, and requirements for development projects.
Coordinate with IT Systems teams to address current Epic user access and future security strategy.
Understand the foundational structures of Epic software, including profiles, roles, menus and security classifications.
Coordinate the maintenance of the Users and Security Matrix and any other build trackers related to Epic security.
Quality Assurance and User Access Audit (20%)
Perform rigorous quality assurance testing to ensure high quality products are released.
Follow departmental and team standards for configuration control, quality assurance and version releases.
Participate in UW Medicine Quality Improvement activities.
Perform regular and ad hoc user access audits and analysis to ensure users have appropriate access and that security policies and processes are followed and enforced.
Advise leadership on security concerns, remediation, and policy/process improvement.
Procedure Writing and Communication (20%)
Develop, implement and recommend changes or improvements to internal procedures as needed and requested.
Interview Subject Matter Experts, review and develop workflow diagrams, observe work at job sites, edit existing procedures and write new operational procedures in support of Epic Security Program.
Develop and implement the processes and procedures for the Epic Security Program, including but not limited to procedures for new users authorization, designing training curricula, facilitating/leading proper system security for the Epic Application, and optimizing the training cycle based on Epic's requirements and user experience.
Document Epic Security functionality changes, and application best practice and educate IT Service Support Teams.
Communicate effectively with IT Services Help Desk staff to ensure efficient and responsive support to end users.
Communicate and liaison with IT Services project managers and leadership for specific project initiatives and report project status, updates, and other pertinent information. And make sure the security management processes are properly communicated to the new end users.
Report on risks/barriers for large- and small-scale projects and ongoing security program.
Participate in all aspects of improving the team, including education/training of other team members and contributing to process/communication improvement initiatives.
Work with manager to set professional goals for career development.
Act as back-up for other team members and functions, as needed.
Bachelor's degree in Computer Science, Information Technology, Business Administration, or related field or equivalent combination of education/experience.
3+ years of analysis experience in mission-critical healthcare systems.
Experience with Epic user and security template build.
Experience participating in Epic user and template build during Epic implementation.
Experience with formal project management.
Knowledge of database structures.

CONDITIONS OF EMPLOYMENT
This is an Information Technology deadline-driven work environment.
The work may be performed in either an office environment or by telecommuting with manager approval, during normal business hours; however, significant off-hours and weekends may be needed to resolve problems and respond to emergencies. This individual is expected to be available for emergencies (business continuity/disaster recovery efforts) on a 24x7 basis as needed.
Because of the physically separated sites for UW Medicine, this position requires the ability to travel to alternative work locations as needed.
Must coordinate projects without direct supervisory authority.
Must work within the constraints of multiple technical environments.
