Purpose of this Position: Lead the effective administration of Emerson's Leave of Absences programs and processes. Deliver clear, timely communication and support to Emerson College employees to ensure a positive experience in the determining of and during their Leave of Absence. The incumbent will coordinate and monitor all leave of absences and partner with third-party administrators, legal counsel, employees, agencies and other stakeholders to ensure the smooth execution of the leave management process. Support the Human Resources' team to stay legally compliant and current with all relevant information regarding leaves.

Essential Functions of the Role:
Serve as primary contact for managers, employees, faculty, vendors, and HR as it relates to all leaves of absence cases (FMLA, disability, personal military, supplemental leaves, and future PFMLA) in accordance with federal and state statutory requirements and Emerson policies
Manage day-to-day of leave administration processes: monitoring and follow up of leaves status, accurate and timely entry in HRIS
Ensure all leaves are in accordance with state and federal laws including detailed documentation and required timelines
Prepare leave notifications, templates, and letters; and follow up accordingly on required medical authorization and health care provider responses as required by state and federal law.
Ensure that applicable members of the HR team and managers are kept abreast of Leave of Absence and accommodation statuses.
Track and manage daily leave reports to ensure timely processing of requests and compliance with FMLA, ADAAA and other Leave of Absence related regulations
Manage and coordinate the Emerson Sick Leave Bank Program, coordinating with 3rd party administrator related to claims resolution activity
Process all workers compensation claims including details of the incident and interview statements
Manage contracts and relationships with all vendors and state agencies related to workers compensation and leaves of absence
Communicate leave, workers compensation and accommodation policies, state and federal laws to employees, balancing accountability and compassion
Coordinate the administration of the return from leave process, including applicable paperwork, notifications and verify any applicable payroll adjustments
Administration of all Collective Bargaining Agreement (CBA) leave articles and advise on best practices for CBA negotiations as it relates to leaves and accommodations
Partner with payroll to ensure employees on leave are compensated accurately
Maintain accurate records of leaves, ensure accrual balance accuracy and troubleshoot balance discrepancies.
Work to improve the leave of absence processes including recommendation of new practices
Responsible for identifying training, education and communication needs including coordinating and delivering training to the appropriate audience as required
Primary contact for accommodation requests
Manage requests for ergonomic assessments and the procurement of ergonomic accessories
Performs other projects and duties as assigned
Bachelor's degree or equivalent experience.
Knowledge of federal and state leave programs and applicable laws.
General understanding of other HR benefits, laws and practices, including, but not limited to various disability benefits, ADA/ADAAA, HIPAA, USERRA.
Professionalism and confidentiality are essential

Proficiency with Microsoft Excel and Word, Gmail, PowerPoint;
High focus on attention to details and time sensitivity
Manage multiple competing deadlines and priorities

3-5 years of experience with 1-3 years focused in a position that included administration of both continuous and intermittent leaves and workplace accommodations
Sense of humor a must
Ability to engage and thrive in a highly collaborative work environment
Experience and understanding of a human resources information system preferred, specifically Workday or Banner
Ability to analyze, problem solve and navigate through complex scenarios
Extensive knowledge of administration of federal and state leave programs and applicable laws, including, but not limited to FMLA, and preferably already engaged in the PFMLA initiative within MA
