The UMKC School of Education Dean's Office is taking applications for an organized Executive Assistant known for their excellent communication skills, and ability to build strong professional relationships. Duties include but are not limited to:
Provide administrative support to the Dean's Office, including maintaining the calendars of the Dean and Associate Dean, answering department phone and email, daily assistance to the Dean on short-term and long-term projects, manage the Dean's Office records, document review and preparation, maintenance of office equipment, etc.
Coordinate and plan Dean's meetings and events, which may include but is not limited to scheduling speakers, securing space, monitoring timelines, sending out invitations, managing lists, coordinating logistics of registration and attendance, as well as coordinating efforts to publicize events
Serve as administrative support for faculty search committees, accreditation reviews, and bimonthly team meetings; including reservations, invitations, minutes, and agendas
Serve as the SOE Promotion and Tenure Coordinator in an administrative supportive role, assisting with portfolios development, provide admin support for the promotion process, conduct External Evaluator process for dean's office, ensure annual TT reviews are conducted and paperwork submitted, ensure all mandatory reviews are conducted and paperwork submitted, maintain paper and electronic P&T records for the division
Manage and coordinate annual faculty review process
Coordinate communications between Dean's Office and the School, as well as other units on campus, affiliated institutions, and the community
Hire, evaluate, and supervise work-study students in the Dean's Office, as well serve as administrative assistant supervisor in collaboration with Division chairs
Order all office supplies including supplies shared by other departments, pay bills using one card or requesting payments in Peoplesoft, submit Travel and Expense reimbursements for various administrators and faculty, make deposits as needed
Candidates must be comfortable learning and using technology, as this position is responsible for work that requires a significant amount of work in various software programs. Conduct student surveys each semester using IDEA software, Excel, and Cognos reporting; update the catalog administrative sections using CourseLeaf; room scheduling using ad astra; develop and distribute surveys using Qualtrics; and update organizational chart using PowerPoint; update website using WordPress as needed
Serve as building liaison for School of Education; manage distribution of office keys, surplusing furniture, managing logistics of moving offices.
Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary.
An earned master's degree
Experience providing executive-level administrative support
Five years of progressively responsible office experience, with at least two years of related experience in business administration, personnel administration, higher education administration, or public relations
Excellent analytical, computer, and organizational skills
Excellent oral and written communication skills
Demonstrated ability to initiate, plan, prioritize, and organize multiple projects
Demonstrated ability to collaborate effectively with others as a team
Demonstrated competence and sensitive judgment with confidential information in a management-support setting
Experience using PeopleSoft
Full Time/Part Time
Starting at $47,476 - $48,000 to be commensurate with education and experience.
