Job Summary LOCAL 200 MEMBERS ONLY
The Administrative Assistant IV is responsible for a wide range of administrative and support functions: prepares and distributes correspondence; prepares reports and presentation materials in Word, Excel and PowerPoint programs; maintains various computer programs and department records; researches and coordinates department projects and assignments; arranges conferences; and maintains appointment and meeting schedules. This position requires daily contact with all levels of management across the organization and with other affiliates.
Coordinates projects in Managed care and other Cook County Health & Hospitals System (CCHHS) departments as required
Arranges conferences, gather and prepare pertinent documents
Tracks and maintains operating and capital budgets
Schedules, coordinates and arranges meetings
Drafts correspondence, manage phone calls and messages
Maintains files, types and copies documents as needed
Manages purchasing/office supplies, vendor payments, timekeeping and payroll
Takes and maintains meeting minutes
Oversees maintenance of office equipment
Implements and maintains Department policies as directed
Maintains personnel and financial records, including timekeeping
Collects data and performs data analytics and convert data into PowerPoint presentations
High School Diploma or GED (must provide proof at time of interview)
Three (3) years of experience providing administrative support to a member of middle or upper management, or for multiple managers, or multiple departments is required
Two (2) years of experience scheduling meetings or other multi participant activities is required
Prior experience gathering and tracking departmental information and maintaining departmental reports
Prior experience coordinating and tracking short term projects within the department
Experience managing email and written communication
Intermediate proficiency with Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook (candidate may be required to test for proficiency)
