The Administrative Assistant IV provides administrative support to the Lead Poisoning Prevention Program in the Environmental Health Services Unit. Activities include case referral, data management, and monitoring of client, contractor, and grantee submissions for lead hazard remediation.
Cleans data and creates program referrals for children with elevated blood lead levels using STELLAR, the Illinois state lead database.
Manages data entry for Cook County Department of Public Health (CCDPH) client database.
Works with program staff to organize case load and ensure timely follow up
Processes client applications for the Lead Poisoning Prevention Grant program, and maintains all client files.
Posts all requests for bids for lead hazard remediation activities, and works with finance to process purchase orders for winning bidders.
Corresponds with municipal grantees to ensure that reports, notices to proceed, and invoices are submitted correctly.
Maintains grantee files.
Works with CCDPH finance to ensure timely payment of lead hazard remediation activities.
Gathers quality improvement activity data for the Lead Management Team.
Maintains program records and assists with filing and correspondence.
Performs other duties as assigned.
High School Diploma or GED (must provide proof at time of interview)
Three (3) years of experience providing administrative support to a member of middle or upper management, or for multiple managers, or multiple departments is required
Two (2) years of experience scheduling meetings or other multi participant activities is required
Prior experience gathering and tracking departmental information and maintaining departmental reports
Prior experience coordinating and tracking short term projects within the department
Experience managing email and written communication
Intermediate proficiency with Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook (candidate may be required to test for proficiency)
